Senior Accounting Technician/ Part Qualified Accountant (Multi-Entity Charities)
Working as part of a small experienced finance team in accounts, payroll and governance across multiple charitable entities.
Purpose of Role
Provide full-cycle bookkeeping, management accounts, payroll preparation, donor income scheme administration, audit preparation, and governance support across multiple charitable entities. The role is delivered as part of a small, experienced finance team, working closely with the General Manager and an experienced external accountant (one day per week), and collaborating day-to-day with two other accounting technicians. Backup support for the Office Manager.
Key Duties & Responsibilities
1) Bookkeeping & Transaction Processing
- Full-cycle bookkeeping across multiple entities (AP/AR, journals, depreciation, accruals, prepayments)
- Weekly payments processing, supplier set-up/maintenance, and creditor management
- Staff expense claims, reimbursements, and supporting documentation
- Bank reconciliations and control account reconciliations
- Balance sheet reconciliations and maintenance of a clear audit trail
2) Payroll & Revenue Compliance
- Weekly and monthly payroll processing across multiple entities
- Pensions administration and uploads
- PAYE/USC/PRSI submissions and handling Revenue queries (ROI)
- Payroll reconciliations and payroll year-end support
- Preparation of Revenue submissions under the Revenue VAT Compensation Scheme
3) Income, Donors & Donation Schemes
- Donor receipting, reconciliation, and query management
- Administration of Enduring Certificates for the Charitable Donation Scheme claims
- Ensure the auditor submits the Gift Aid submission and tracking for NI entities (where applicable)
- Restricted/unrestricted income tracking and related documentation
4) Management Reporting Support & Budget Assistance
- Preparation of periodic financial reports and schedules (monthly/quarterly, as required)
- Support for budget preparation and variance analysis
- Cash flow monitoring support and basic forecasting schedules
- Preparation of templates and working papers used in Board packs (in collaboration with the GM and accountant)
- Preparation of Executive Office updates for Board meetings
5) Audit, Year-End & Compliance Support
- Preparation of audit files, schedules, reconciliations, and supporting documentation
- Liaison with external auditors and the oversight accountant
- Year-end journals and supporting workings as required
- Assistance with CRO & RBO filings, CRA returns, and related administration (as applicable)
- Ensure the auditor has all the information required for the CCNI submissions
- Maintenance of compliance calendars and key deadlines
6) Governance Administration, Meetings & Team Collaboration
- Support the GM and accountant in organising Board meetings and AGMs: scheduling, logistics, papers, and follow-up actions
- Liaise professionally with volunteer Board members and other stakeholders
- Provide office support for the different charitable entities
- Attend Board meetings/AGMs as required (typically evenings)
- Work as part of a collaborative team (Accounting Technicians, Accountant, GM), providing cross-cover and sharing workload during peak periods
- Contribute to continuous improvement of processes, templates, and internal controls
- Contribute to general office administrative efficiency as part of a small, collaborative team.
Working Arrangements
- Full-time role
- Minimum four days per week onsite (office-based, Dublin 2)
- Periodic evening attendance required for Board meetings and AGMs (time in lieu provided)
- Time in lieu for evening meetings, by agreement with the GM and/or accountant
Skills & Experience Required
- MIATI (or equivalent) preferred; strong experience will also be considered. Might suit a part qualified accountant with relevant experience
- 5+ years’ relevant experience in full cycle bookkeeping and management accounts preparation (charity, SME, or practice outsourcing)
- Payroll experience (processing and responsibility for following through on payroll queries)
- Strong Excel capability and comfort with accounting/payroll systems
- Organised, accurate, and dependable, with strong follow-through
- Comfortable dealing with volunteer Board members and maintaining confidentiality
- Good communication and telephone skills
Desirable
- Charity/non-profit sector experience
- CHY3/Donation Scheme and/or Gift Aid experience
- Experience supporting audits and multi-entity environments
- Familiarity with basic governance and filing cycles (CRO, CRA, CCNI)
