Volunteer Management Administrator

The Irish Cancer Society is recruiting for a Volunteer Management Administrator.

Title: Volunteer Management Administrator 

Reports to: Volunteer Manager 

Contract Type: 1-year Fixed Term 

Hours: Full Time (35 Hours/week) – 9am to 5pm 

Location: The Society operates a hybrid working model with a combination of remote and in-person (Dublin 4 office) working. 

Office Days: Office attendance days are Wednesday & Thursday 

Salary: €31,500 per annum

What you’ll do As Volunteer Management Administrator you will ensure that all volunteers enjoy a consistent and well-managed experience with the Society and will be a champion for volunteers and volunteering in the Society. 

You will also play a key role in Garda Vetting projects within the society including In-Person Validation and Re-vetting.

Key duties and responsibilities:

Garda Vetting 

  • Act as the Liaison Person for Garda Vetting within the Irish Cancer Society, managing the full vetting process for volunteers.
  • Co-ordinate the administration of Garda Vetting applications including data entry, submission, monitoring and follow-up ensuring accuracy and confidentiality at all times
  • Co-ordinate the in-person validation vetting of all new volunteers on a nationwide basis
  • Co-ordinate the re-vetting of volunteers on a nationwide basis.
  • Maintain up to date records of all Garda Vetting activity in line with NVB requirements and the Society’s Data Protection Policy. Volunteer engagement
  • Provide volunteers with an excellent experience, as the first point of contact for volunteers during the recruitment process and as a continued support throughout their journey with the Society
  • Develop and collate reports as required
  • Answer general queries relating to volunteering, from volunteers and staff contacts
  • Assist with special projects as required, or self-determined, to enhance the overall volunteer experience
  • Assist in the development of new tools and templates for volunteer management in the Society. Process administration and improvement
  • Effectively administer the volunteer recruitment processes, including Garda Vetting, ensuring volunteer candidates are kept up to date
  • Identify ways to improve and streamline volunteer processes and, with the support and guidance of the Volunteer Manager and team, implement changes
  • Proactively seek and gather feedback from volunteers and staff about the volunteer experience and process and share with the team
  • Generate and update draft templates, process documents and guides to volunteering processes to a high standard. 

Record Keeping and Reporting 

  • Keep up to date records of applications received for each role and keep records updated throughout the recruitment process.
  • Maintain accurate and up to date records of volunteers and prospective volunteers on MS Dynamics CRM
  • Prepare reports and provide status updates annually, monthly and as required
  • Maintain confidentiality at all times, and ensure rigorous compliance with the General Data Protection Regulations (GDPR) Communication and teamwork
  • Maintain the volunteer enquiries inbox, ensuring all queries are responded to in a timely manner and escalate queries as needed
  • Communicate effectively with staff contacts and provide them with support to enable a great volunteering experience
  • Provide administrative support to the Volunteer Management Team in a timely, efficient, professional and confidential manner.
  • Work with the team on projects and initiatives to enhance the volunteer experience.

  • Technology savvy: you will have a high level of proficiency in the MS Office suite, and experience of working with databases, as well as using technology to support internal processes
  • Curious and proactive: you will be interested in volunteering and keen to develop and grow your skills, in a supportive environment. You will be proactive about identifying opportunities to improve the volunteer experience. 

Qualifications and experience 

You will have experience working in a fast-paced administrative role, with direct patient or client contact. The Society measures experience based on the quality of the experience obtained, rather than in time passed and welcomes applicants at all stages of their career.

Experience in an administrator role, in any sector, preferably working in a cross-functional area. 

Experience (paid or voluntary) in engaging with volunteers, or in being a volunteer, is an advantage but not essential. The successful candidate will however have a genuine interest in volunteering and understand the needs of volunteers and the importance of volunteering to the Society.

High level of proficiency in database management, with experience with Microsoft Dynamics CRM an advantage.

High level of proficiency in Microsoft Office Suite General
