MPs Familiar Faces Programme is seeking tenders for the production of a short documentary (approx. 20 minutes) capturing the progress, impact and stories.
Introduction
Meath Partnership’s Familiar Faces Programme is seeking tenders for the production of a short documentary (approx. 20 minutes) capturing the progress, impact and stories of the Familiar Faces participants and volunteers.
The Familiar Faces programme was designed as a community education and integration initiative, matching local community volunteers with migrants new to County Meath to create meaningful connections, social networks, build local and cultural knowledge, while celebrating cultural diversity.
Tender Details / Specifications
The appointed contractor will be responsible for producing a short documentary film (approx. 20 minutes) that:
- Attends a selection of project events and training sessions (15–20 hours) across an 11-month period (September 2025 – July 2026).
- Is available to cover part of the training day on the 27th September 2025.
- Captures the aims, activities and outcomes of the Familiar Faces Programme.
Highlights personal stories from volunteers and participants. - Incorporates interviews, project activity footage and narration/voiceover as required.
- Provides subtitles in English, with the option to add further languages.
- Delivers the final film optimised for online platforms (social media, website) as well as for event screenings.
- Covers all costs associated with production, editing, sound and post-production.
- Supplies the final film in MP4 format (Full HD/4K) and provides subtitle files (.SRT).
Delivery Deadline: July 2026
Indicative Budget: €4,000 – €5,000 (incl. VAT)
Contract Duration & Intellectual Property
- The contract will run from September 2025 to July 2026.
- All intellectual property and copyright in the final documentary, including raw footage, will remain the property of Meath Partnership.
- The contractor will grant Meath Partnership full rights for distribution, reproduction and dissemination.
Award Criteria
The award of this contract will be based on the most economically advantageous tender (MEAT)
received. Please note that the following criteria will be used to assess and score your tender, with the
highest scoring tender deemed to be the winner:
Award Criteria Weighting (Marks)
Cost/Price - Scoring of price will be based on the formula: (Lowest tender price ÷ assessed tender price) × 50. The lowest price will be awarded full marks. 50 Marks
Compliance with Requirements 25 Marks
Proposed Approach 10 Marks
Relevant Experience & Portfolio 10 Marks
Ability to Meet Deadline 5 marks
Total 100 Marks

Additional Requirements
- This is a fixed-price contract; as such, all anticipated costs must be included in any tender submission.
- Ensure that all relevant details are provided in the tender document, including the date, company/personal information, and itemised costings of services.
- Clearly state the applicable VAT rates and amounts within the tender document.
- Provide evidence of Tax Clearance, including your Tax Reference/PPSN and Tax Clearance
Numbers in the tender document.
- The successful Tender applicant may be required to submit proof of appropriate insurance coverage following the award process.
- Tenderers must comply with GDPR requirements and ensure all necessary consents or permissions are secured for participants featured in the film.
- Tenderers must treat all project information, participants, and materials as strictly confidential.
