We are seeking a Philanthropy Administrator to support the administrative and operational functions of the Abbey Theatre’s Corporate Philanthropy Team.

Contract: Permanent, Full-Time

Job Title: Philanthropy Administrator

Salary: €33,505 

We are seeking a Philanthropy Administrator to support the administrative and operational functions of the Abbey Theatre’s Corporate Partnership and Philanthropy Team. This is an ideal opportunity for someone who is keen to deepen their immersion in a live working theatre and gain hands-on experience in the fundraising function that supports it.

This is an exciting opportunity for a motivated and resourceful individual to join a dynamic and growing Philanthropy team, focused on securing vital funding to support the work of the National Theatre of Ireland. We’re looking for someone who brings energy, initiative, and a can-do attitude, someone who thrives in a fast-paced environment and enjoys taking ownership of tasks and seeing them through.

Strong organisational skills, excellent attention to detail, and the ability to manage multiple priorities are essential. Experience in event coordination is a plus but not a requirement. Key Responsibilities

Administrative

  • Administration of supporters’ and corporate partners’ accounts and events, including ticket booking and timely delivery of related benefits.
  • Ensure accurate recording of all relevant income and expenditure and act as the primary point of contact for the Finance and Administration Department.
  • Process donations and partnership invoicing, receipting and acknowledgement of all individual and corporate donations and renewals
  • Use CRM system to maintain up-to-date contact records, including capturing all interactions for current and prospective supporters.
  • Ensure compliance in areas including tax-effective giving, regular payments, and data protection.
  • Conduct research and create basic profiles to support prospecting efforts.
  • Create and support the team in the development of campaign reporting and pitch documents.
  • Manage mailing lists for all outgoing communications such as newsletters and e-zines.
  • Ensure all supporter listings are accurate and up to date.
  • Assist in preparing materials and contributing content for Board and Fundraising and Engagement Committee reports and meetings.
  • Develop content and materials for quarterly newsletters that showcase the breadth and impact of our work to current and prospective supporters.
  • Undertake any other tasks as may be deemed reasonable and appropriate.

Events and Event Planning

  • Provide administrative and logistical support for fundraising and cultivation events, both on- and off-site.
  • Assist in the planning and delivery of supporter receptions, opening nights, private briefings, and other stewardship activities.
  • Coordinate RSVPs, guest lists, and ticket allocations for events.
  • Liaise with internal departments and external suppliers to ensure event requirements are met.
  • Liaise with Abbey Theatre Events Co-Ordinator to ensure smooth execution.
  • Support post-event follow-up, including attendee tracking, thank-you communications, and post-event reporting.

Person Specification

The ideal candidate will have a strong background in administrative support. The following skills and personal attributes are required:

  • Exceptional organisational and communication skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent attention to detail and accuracy in working with figures
  • A positive disposition, strong interpersonal skills, and the ability to deal confidently with a variety of stakeholders.
  • A collaborative team player, the ideal candidate will thrive in cross-functional settings, working closely with her Philanthropy team colleagues as well as wider organisational teams.
  • Strong knowledge of Microsoft Word, Outlook, and Excel.
  • Ability to use initiative and problem-solve while working to multiple deadlines.
  • A passion for success, and openness to taking feedback.
  • Experience in event coordination or support is preferred.

Additional Information This role may require occasional evening work to support events; time off in lieu will be provided.
