Legal and Compliance Team Administrator

You will play a key role in helping the Irish Cancer Society Legal & Compliance Team with a range of administrative and legal tasks.

What you’ll do:

As the Legal and Compliance Team Administrator you will play a key role in helping the Irish Cancer Society Legal and Compliance Team with a range of administrative and legal tasks. These tasks will include supporting the Data Protection and Legal Manager with the contract review process, an initial review of standard contracts, maintaining team logs and registers, and supporting in general administrative tasks in the area of legal, governance, compliance and data protection.  

Main Duties & Responsibilities

Legal administrative responsibilities

  • Assist the Data Protection and Legal Manager with the review of legal contracts that arise from across the organization, ensure contract templates are up to date, and mange the contract hub.
  • Act as a point of contact as needed between other teams and the Legal and Compliance team for and advice on the contract process and contract reviews.
  • Assist the Data Protection and Legal Manager in building awareness in the organisation on the contract review process and templates.
  • Assist the team in other legal correspondence and matters as they arise

General Admimistrative duties 

  • Assist the Data Protection and Legal Manager with a variety of administrative tasks in the area of data protection:
  • Manage the Data protection inbox
  • Support in an initial review/response to internal data protection queries from other teams
  • Assist the Data Protection manager in managing breach and incident reports, maintaining the breach register, and developing high level reports for senior management
  • Assist the Data Protection manager in ensuring the Record of Processing Activities and retention schedule are maintained and updated annually
  • Provide support to the Legal & Compliance team on general ad-hoc administrative matters as they arise – managing diaries, setting up meetings internally and externally, managing team emails and supporting in the management of compliance and data protection registers, records and logs.
  • Supporting in managing general queries to the Legal and Compliance team.
  • Preparing letters, presentations and reports as required.

The role is a flexible one in a dynamic team and you may be required to perform additional duties as required.

Person Specification

  • You are an excellent communicator who is experienced working with a wide range of teams across an organisation.
  • You have excellent organizational skills.
  • Excellent time management skills and ability to multi-task are essential.
  • High level of accuracy and attention to detail are essential to this post.
  • Be a self-starter, proactive and have the ability to work independently, in a fast-paced environment.
  • Tech savvy, with a high level of computer skills across the Microsoft Office suite (in particular Excel), and experience in Sharepoint and Adobe Acrobat.
  • Ability to handle sensitive information with discretion and professionalism.
  • You have an interest in law/data protection/governance. 

Qualifications and Experience

  • Demonstrable experience in an administrative support role, in a legal or professional services environment.
  • You will have relevant experience working with a legal team (in house law, legal practice, a legal team), or another relevant legal area.
  • You are experienced in managing a wide variety of administrative tasks.
  • Ability to handle sensitive information with discretion and professionalism.
  • Some data protection knowledge desirable.
