Finance Officer

EPIC is seeking a Finance Officer to ensure organisational financial health through compliant accounting, accurate reporting and governance support.

Job Purpose

  • To ensure the financial health of the organisation by administering accounting operations to meet statutory, legal and charitable governance requirements and a robust reporting regime.
  • To provide accurate financial information and reports to support the organisation’s management, governance and decision-making processes.
  • To support the Chief Operations Officer in monitoring and maintaining compliance with statutory, legal and charitable governance requirements. 

Responsibilities 

Finance
  • Prepare monthly, quarterly and annual financial reports in a timely manner, including:
    • Maintain accurate records of all daily financial transactions, including payments, receipts, and journal entries.
    • Maintain and manage the procurement process of the organisation.
    • Provide support and training to the team in managing the monthly expense claim and approval processes within the online expense management software.
    • Preparation of monthly reconciliations, expense reports and balance sheet schedules for management review.
  • Prepare funder and project reports, as required, compiled in line with relevant funding agreements.
  • Prepare comprehensive banking files on a monthly basis, ensuring all reconciliations, transaction records, and supporting documents are accurate and organised for timely management and committee review.
  • Prepare the monthly payroll file and submit it for management review.
  • Act as the primary point of contact for all payroll‑related queries.
  • Maintain and update the fixed asset register.
  • Prepare internal reports as required, including reports for board sub-committees.
  • Prepare files for financial audits and liaise with auditors, when required.
  • Assist with annual budget preparation.
  • To support the COO with property management for head office review and implement financial policies:
    • Maintain and update financial procedures as agreed with senior management
    • Keep up to date with all current accountancy practices i.e., charity law, SORP
  • Providing support to the CEO, COO and the board sub-committees as required.
  • To ensure the confidentiality of all information in any media or format in relation to the children and young people who use the service. 
Compliance
  • Monitor, maintain, and update the annual compliance plan and calendar.
  • Maintain and update garda vetting records.
  • Support COO in risk management and monitoring.
  • Maintain and update GDPR breach register. 

Other Responsibilities 

  • Attend internal regular meetings, provide reports and information as required.
  • Participate actively with the team, planning and staff meetings as required to function effectively within the organisation.
  • Participate in regular supervision with your line manager.
  • Be vigilant to any child protection risks, health and safety risks and data protection risks in the workplace and bring any concerns to designated officers and/or your line-manager.
  • Undertake other duties as may be reasonably required from time-to-time. 

Desirable Skills and Experience

  • The candidate will be a self-starter, flexible and comfortable working on their own initiative.
  • 3 years+ previous experience in a similar role.
  • Accounting Technician qualification or similar qualification and/or experience.
  • Demonstrate strong management accounting knowledge
  • Experienced in budgeting and financial reporting.
  • Knowledge of FRS 102 SORP and experience in not-for-profit sector.
  • Demonstrate an ability to take ownership and drive issues through to completion.
  • Demonstrate an ability to manage workloads to meet tight reporting timelines.
  • Problem identification and solving skills.
  • Excellent IT literacy and administrative skills.
  • Experience with Accounts IQ is desirable but not essential.

Terms
  • This is a full-time post (35 hours per week), with a six-month probation period.
  • Annual leave entitlement of 25 days per annum, increasing to 27 days after 2 years of service
  • The office is closed for one day at Easter and three days at Christmas. These holidays are additional to the annual leave entitlement.
  • Participation in the company pension scheme is matched by a 3% Employer contribution during your probationary period, increasing to 5% employer contribution on successful completion of your probation period.
  • All roles within EPIC are subject to Garda Vetting.
