Disability Federation of Ireland is recruiting for a Corporate and Operations Administrator.

Position:Corporate and Operations Administrator  
Tenure:Permanent - subject to completion of probation 
Organisation:Disability Federation of Ireland (DFI)
Location:It is a hybrid working role, with a blend of in-person (at DFI Head Office, 2 Dublin Landings, North Wall Quay, Dublin 1, D01V4A3) and remote working  
Reporting To:Corporate and Administration Manager
Salary:€40,000 per annum

Role Purpose:

The Corporate and Operations Administrator will provide high-level administrative support across DFI. They will work closely with the Corporate and Management Teams to implement policies and procedures in the corporate service function and will support the management team’s engagement at national, EU and international level. 

Working closely with colleagues across DFI and with member organisations, the Corporate and Operations Administrator will participate in and support DFI in implementing the strategic plan and operational plans. They will build and maintain good working relationships with internal and external stakeholders in DFI.

 

Main Duties and Responsibilities: 

The core responsibilities of this role are: 

Corporate and Operational Administration:

  • Provide reliable administration support across the Corporate and Operational Administration functions of DFI
  • Manage timely distribution of governance related meeting papers and ensure all actions arising from meetings are monitored and followed through
  • Contribute, in a knowledgeable and focused way, to the annual governance planning of DFI
  • Meet with the Corporate Administration Team on a regular basis, to ensure tasks in the corporate service function are completed in a timely manner 
  • Actively identify and pursue opportunities for improvements and developments in the corporate service function of DFI.  

Event Management: 

  • Oversee operational aspects of the planning of key regional, national, EU, and international events 
  • Provide operational oversight to campaigns and projects as required.
  • Support DFI online meetings and webinars.

DFI Database:

  • Provide administrative oversight to the management and maintenance of DFI’s databases and carry out related administrative duties.

General Administration:

  • Provide administrative support to DFI’s projects and programmes  
  • Support more effective use of applications across DFI’s work (Teams, Zoom, Outlook, Microsoft office etc) 
  • Undertake general office duties including: telephone answering, filing, post, photocopying, preparing documents for meetings, stationery ordering and monitoring. 

Other appropriate duties that may be assigned from time to time.

Role requirements and criteria: 

Candidates must be able to demonstrate that they have: 

  • At least three years’ experience in a similar role
  • A high level of organisational, time management and analytical skills 
  • Experience of working on multiple tasks/projects at the same time while maintaining focus and structure and meeting deadlines, and can work well under pressure
  • Experience of managing competing priorities effectively with confidence 
  • Proven ability to work on own initiative and as part of a virtual/office-based team
  • Excellent communication and interpersonal skills
  • Ability to troubleshoot and resolve operational issues in a solution focused way
  • Experience in maintaining good administrative systems and practices
  • Proficiency in using the MS Office suite, CRM software and Click Dimensions or similar software
  • A strong work discipline, and excellent attention to detail in all work.
