IGPNEA NATIONAL EXECUTIVE ADMINISTRATOR
IGPNEA are recruiting for an experienced Administrator. Experience in working for a charity and/or an Education or Membership setting will be an advantage.
Part time Position: 30 Hours per week
Hours will be agreed with IGPNEA Director of Nursing (Education) and the Members of the IGPNEA Board.
Location of Post: The successful candidate will work from home. Heat and Light expense allowance @ €3.20 per 7.5 hours worked
Starting date: June 2025

Reporting Relationship:
Reports directly to the elected IGPNEA Director of Nursing (Education) and the Members of the IGPNEA Board.
Works closely with the NEC Committee and other expert groups within the Association.
Principal Duties and Responsibilities:
Duties will include:
- Dealing appropriately and efficiently with communications, queries and callers to the IGPNEA, implementation of the office management procedures, provision of all administrative support required by the IGPNEA Director of Nursing (Education) and the Members of the IGPNEA Board
- Provision of cover to staff colleagues during periods of leave of absence, good team working skills.
- Correspondence: Dealing with all phone calls, emails, and WhatsApp messages to the IGPNEA. Sending out correspondence and WhatsApp and e-mail alerts as necessary.
- Maintain confidentiality and a high level of professionalism.
- Information Officer: Give advice on non-clinical matters relating to practice nursing to members and non-members, refer queries to appropriate people e.g. IGPNEA Director of Nursing (Education), the Members of the IGPNEA Board, PDCs etc. Develop reference library of research and articles for IGPNEA Members in conjunction with IGPNEA Education sub-committee.
- Work with social media officer to manage all content on the IGPNEA website and with other educational groups to form links from the IGPNEA website to appropriate educational opportunities.
- Work closely with the Membership and Administration Officer to establish cloud-based access for administration and communication activities including transfer/archive existing documentation.
- Create a culture of using Microsoft Office 365 and MST for Communication activities. Data Controller/ Data Protection Coordinator: Update Data Protection Policy as necessary. Manage requests received from outside bodies for IGPNEA mailing lists. Manage requests for use of the IGPNEA logo.
- NEC Meetings and AGM: Organise meetings; draft agenda with IGPNEA Director of Nursing (Education) and the Members of the IGPNEA Board; record, type and distribute approved minutes of meetings; carry out any decisions or actions; coordinate and type annual report. Attend NEC meetings, National Conference and AGM and other meetings as indicated by the IGPNEA Director of Nursing (Education) and the Members of the IGPNEA Board.
- IGPNEA National Educational Conference. Link person for host branches. Assist the local branch with administrative support. Seek corporate sponsorship for the event, link person for exhibitors, book exhibitors, issue invoices and receipts.
- Assist with the event during the conference weekend.
- IGPNEA Awards and Educational Bursaries. Provide administrative assistance in planning, designing, and judging of awards.
- Compliance with Legislation: Compile and maintain all records necessary for the retention of Charitable Status. Ensure compliance with all relevant legislation, i.e. maintaining Companies Registration Office records, submitting information to Revenue Commissioners and Charities Regulator as necessary, arrange accounts review/ audit as necessary.
- Working with other Groups: Liaise with publishers of the IGPNEA Journal “General Practice Nurse”, write NEC news for journal, attend meetings/ teleconferences with other groups as deemed appropriate by NEC officers and IGPNEA Director of Nursing (Education) and the Members of the IGPNEA Board.
- Book Keeping: Keep accurate receipts of all financial transactions of the IGPNEA, manage the cash flow of the IGPNEA, compile draft and final budgets for NEC approval, comply with Internal and External controls to safeguard against risk and fraud, comply with procedures that ensure clarity and transparency, compile detailed internal financial report for Annual Report, work with accountant to compile National and Branch accounts for audit, Use IBB internet banking with National Honorary Treasurer.
- Salaries, monthly payslips, payment of PAYE/ PRSI/ USC to Revenue.
- Other duties as assigned by the IGPNEA Director of Nursing (Education) and the Members of the IGPNEA Board

Eligibility Criteria:
The applicant must have a good understanding of the role of the general practice nurse within the General Practice setting.
Excellent computer and office management skills are essential. A relevant qualification in that area is desirable.
Experience of working in general practice or within primary care is desirable.

- Excellent communication and interpersonal skills with the ability to interact with all levels of the organisation.
- Highly motivated, able to work independently on his or her own initiative and also as a member of a team.
- Strong administrative skills
- Excellent computer skills; including Microsoft Word, Excel, PowerPoint presentations; website coordination,
WordPress; efficiency in filing and document management systems.
- Ability to generate and present documents in a professional manner.
- Bookkeeping skills.
- Ability to manage competing demands and work to strict schedules and guidelines.
Salary Scale
In line with HSE Clerical Officer Grade IV
Relevant experience will be taken into account.
Salary scale based €15-€21 per hour
