Job Summary:
Responsible for the administration and oversight of Garda Vetting within the IACP, ensuring compliance with the National Vetting Bureau (Children and Vulnerable Persons) Act 2012 and managing the full vetting process, including application review, identity verification, reporting and follow-up on non-compliance. The role also supports membership and professional standards functions, including CPD recognition, committee support, processing membership and accreditation applications, maintaining member records, and responding to queries.
Garda Vetting Duties & Responsibilities:
- Provide accurate, timely advice and guidance to current and prospective members regarding Garda Vetting requirements and IACP membership
- Develop and maintain a working knowledge of the National Vetting Bureau (Children and Vulnerable Persons) Act 2012 and all relevant guidelines and updates
- Act as the registered Authorised Signatory with the National Vetting Bureau (NVB) on behalf of the IACP
- Oversee and administer the National Vetting Bureau eVetting system for the organisation
- Process Garda Vetting applications, including reviewing, verifying and clearing applications in line with NVB requirements
- Verify applicants’ identity in accordance with NVB standards, including conducting in-person identity checks where required
- Manage and maintain Proof of Identity procedures and related documentation
- Maintain accurate and secure Garda Vetting records and data within the IACP, ensuring compliance with data protection requirements
- Ensure Garda Vetting policies and procedures are implemented, monitored and updated as required to remain compliant with legislation and best practice
- Monitor, manage and follow up on Garda Vetting compliance, including proactively contacting members in relation to outstanding, incomplete or non-compliant vetting requirements
- Manage all correspondence and administrative processes associated with Garda Vetting applications
- Coordinate and support the work of the Garda Vetting Decision Making Panel
- Prepare and deliver regular Garda Vetting reports as required
- Attend relevant National Vetting Bureau training sessions and meetings to ensure ongoing compliance and best practice
Member Services duties:
- Administration of IACP CPD Recognition Process and processing applications for CPD Recognition
- Administrative support for the IACP CPD Committee and other committees as may be required.
- Supporting the department with managing queries in relation to membership matters and processing relevant applications for membership and accreditation as required
- Maintain accurate member details on the IACP database
- Event support and attendance when required
- Attendance at staff meetings
- Provide presentations to staff, IACP members and prospective members
- Other duties as assigned by the Line Manager
Person Specification
Essential Requirements:
- Minimum of 2 years’ experience in an administrative / regulatory role
- Knowledge of and/or interest in education and training delivery
- Excellent timekeeping and pattern of attendance
- Excellent written and verbal communication skills
- Excellent computer skills, demonstrating extensive experience of Microsoft Word, PowerPoint, Excel and Outlook
- A completer-finisher
- Highly motivated self-starter with initiative to make things happen
- Have a calm confident and helpful telephone manner
- Creative and lateral thinker
- Excellent organisational skills, and ability to effectively prioritise time and work
- Ability to build and maintain mutually beneficial relationships with other organisations and individuals.

Desirable Requirements:
- A third level qualification
- Knowledge of and interest in, Counselling and Psychotherapy
- Knowledge of and interest in the voluntary sector
- Experience of working in the voluntary sector in some capacity or other.
- Previous experience in professional accreditation or Garda Vetting processes would be an advantage
- Experience working with “Salesforce” or another CRM system
Remuneration and conditions: A starting salary of between €30,639 and €€32,966 per annum, dependent on experience. There is a scale which gives annual increments (subject to a satisfactory performance review) which rises to €42,060.
- IACP staff are currently working a hybrid solution, working 2/3 days per week in IACP’s Office, Marina House, 11-13 Clarence Street, Dun Laoghaire, Co Dublin, and the other days remotely. This arrangement is subject to change.
- The normal working hours are 35 hours per week between 9 am and 5 pm, Monday to Friday. There is a flexible option of starting between 8.30 am – 9.30 am and finishing between 4.30 pm - 5.30 pm each day.
- The annual leave entitlement is 23 days per annum.

- Staff may be required from time to time to work outside of the core hours and the IACP operates a Time in Lieu system for such hours should they arise.
- Staff may be required to travel on occasion as part of the role and travel expenses are paid at civil service rates.
