Role Purpose:
The Fundraising Administration Support will provide vital administrative assistance to the Fundraising Department and support other teams within Cork ARC as needed. This role ensures the effective coordination of fundraising activities, accurate financial and data tracking, and strong supporter communication — all contributing to Cork ARC’s mission to support those affected by cancer.
Key Responsibilities:
1. Fundraising & Event Support
· Log, track, and follow up on all prospective fundraising events and online campaigns.
· Support planning and delivery of internal and external fundraising events (e.g. raffles, coffee mornings).
· Coordinate and track the sourcing and distribution of raffle and auction prizes.
· Organise fundraising logistics, including materials (e.g. collection buckets, signage), volunteer support, venue bookings, and vendor coordination (photographers, printers).
· Manage the creation and distribution of promotional items and Cork ARC merchandise.
· Represent Cork ARC at fundraising events and functions when required.
2. Donor & Volunteer Engagement
· Respond to phone and email queries from donors, fundraisers, and volunteers.
· Register new fundraisers, donors, and events on the CRM database.
· Issue thank-you letters and receipts for donations and prizes.
· Support volunteer coordination and communication for fundraising activities.

3. Financial Administration
· Record and track donations received via bank transfer, online platforms, or in person.
· Log all financial transactions accurately in on our database and maintain banking records.
· Process invoices and receipts, liaising with internal teams and external donors regarding payments.
· Assist with generating financial reports and tracking event income, including ticket sales and online totals.
4. Communications & Social Media
· Manage and update Cork ARC’s social media accounts across departments.
· Create engaging social content for upcoming events, fundraising campaigns, and community updates using Canva.
· Respond to online messages and direct enquiries appropriately.
· Collaborate with internal teams to promote events and campaigns.
5. Data & Compliance Management
· Ensure all records, communications, and fundraising activities adhere to compliance and GDPR guidelines.
· Maintain and update databases, and prepare mailings or grant application forms as required.
· Complete verification documentation for grant or donation applications from companies and funders.
Skills & Competencies
· Excellent administrative and organisational skills.
· Strong written and verbal communication skills.
· High attention to detail with accurate data entry and record keeping.
· Ability to manage multiple tasks and meet deadlines.
· Friendly, professional manner with a proactive approach to problem-solving.
· Experience with Microsoft Office
· Familiarity with CHAMP (or other CRM systems), and Canva is an advantage
· Familiarity with fundraising platforms (iDonate, GoFundMe, Eventmaster) is an advantage.
Qualifications & Experience
· Previous experience in an administrative, events, or fundraising support role (charity sector preferred).
· Understanding of fundraising compliance, GDPR, and supporter engagement best practices.
· Experience coordinating volunteers or public-facing communications is desirable.
Working Conditions
· Based at Cork ARC Cancer Support House, with some flexibility for events outside standard hours.
· Occasional evening or weekend attendance may be required
Desirable: full licence and use of own car
