Summary of the role
Na Píobairí Uilleann (NPU), was founded in 1968 to promote the playing and manufacture of the uilleann pipes and Irish traditional music in general. We have extensive music tuition, instrument making training, publications and public performance programmes and provide a wide range of services through our web-based resources.
With a growing worldwide membership and expanding events programmes, we now have a vacancy for a full time Administrative Assistant position reporting to the Administrator.
- The successful candidate will ideally have relevant administrative experience, preferably in education, arts, culture events or community programmes. Possess excellent communications, interpersonal and organisational skills and have a working knowledge of Microsoft Office. The commitment to work to strict deadlines is essential. Knowledge and appreciation of Irish traditional music is essential and the ability to play the uilleann pipes is desirable.
Salary: €32,000 – €40,000 gross per annum, depending on experience.
Responsibilities of the role
Communication
- Act as a professional and responsive point of contact for students, parents and guardians, tutors, partner organisations, members, volunteers, venues and members of the public.
Administration
- Administration of NPU’s Pipes on Loan scheme including loan agreements and the ongoing repair and maintenance of instruments.
- Coordination of weekly classes nationwide
- Coordination of courses delivered at our PipeCraft facility (tutors and students)
- Managing relationships with existing and new partnership organisations
- Procurement and replenishment of tools and materials needed for NPU pipemaking and reedmaking courses
- Adherence to budgetary controls
- Provision of cover for and assist with sales order fulfilment
- Provision of general administrative cover across NPU as required
Event Management & Programming
- Event management at NPU public events (Try the Pipes events, piping programme at Scoil Samhraidh Willie Clancy, Session with the Pipers, Tionóil, the Ace and Deuce of Piping concert, the Breandán Breathnach and Leo Rowsome commemorative events)
- Planning and delivery of pipemaking and reedmaking short courses at our PipeCraft training facility.
Financial Administration
- Assist with financial administration of tuition programmes
Health and Safety
- Implementation and adherence to NPU Health and Safety policies and procedures at all our locations
- Undertake monthly Health and Safety Audits
Governance
- Operation of the NPU Child Protection Policy and related policies and procedures
- Operation of the NPU Volunteer Policy
- Adherence to and promotion of equality, diversity and inclusion policy and procedures
Personal Skills
- Excellent administrative and organisational skills
- Excellent communication skills – written and verbal
- Ability to work as part of a team
- Commitment to work to strict deadlines
- Knowledge of Microsoft Office including Word, Excel, also databases, accounting software is an advantage
- Commitment to work on own initiative
Requirements
Permanent full-time position, 35 hrs per week, based in 15 Henrietta street, Dublin 1, subject to 6 months’ probation period.
20 days annual leave in addition to public holidays. The role will require occasional evening and weekend work and travel within Ireland. The appointment will be subject to satisfactory references, proof of eligibility to work in Ireland and Garda vetting. NPU is an equal opportunities employer.
