Summary of the role

The successful candidate will become a member of the administration team, working collaboratively with others, in addition to having delegated core responsibilities.   We are looking for someone who has strong organisational skills and who is well-motivated to work both independently and as part of a wider team.  The person appointed will be expected to fully endorse the ethos of CITI as described in its core values (see www.theologicalinstitute.ie) and to maintain confidentiality as appropriate to working with other people’s personal information.  The job will be for two mornings per week (the precise days are to be agreed with the successful candidate) and initially from 9-12.30 p.m.

 

Responsibilities of the role

 

  • To be responsible for all student accommodation matters, including room allocation for residential weekends, internship weeks, pioneer gatherings, RCB meeting weeks, and lay students.
  • To be responsible for all external conference and individual room bookings, including liaison with key contact persons for room requirements and dietary needs, travel assistance, and health and safety briefings.
  • To liaise with catering and domestic staff in relation to all such external bookings.
  • To liaise with the Bursar in relation to the processing of invoices for external bookings.
  • To be responsible for inspecting, auditing and managing all accommodation facilities.
  • To develop an online system for external bookings including the production of an annual overview spreadsheet.
  • To assist with the annual student vetting process under the requirements of COI Safeguarding and the organisation of training.
  • To assist with general reception duties, including for deliveries and visitors.
  • To assist with ongoing administrative tasks such as the processing of student assignments, printing needs, photocopying, and social media
  • To assist with annual duties such as handbooks, admissions, exam courts, and book launches.
  • To assist with all other relevant tasks as required under the direction of the Bursar and Secretary to the Institute.
